Terms of Service

1. Who these terms are between

These terms are an agreement between you (the engineer using the service) and the operator of TradeDocs, [CONTROLLER - confirm before launch]. They are governed by the law of England & Wales. By creating an account or using the service, you accept these terms.

2. What TradeDocs is

TradeDocs is a professional tool that helps qualified UK electrical and gas engineers produce their statutory certificates quickly and accurately. The service uses AI vision to help read consumer units and appliance data and to check entries against BS 7671 and the relevant gas regulations.

The AI helps; you decide. The AI is an assistant - it reads, reminds, and flags possible issues to give you an extra layer of checking. It does not replace your professional judgement. Every reading, finding and certificate is your responsibility.

3. You must be a qualified, registered engineer

To use TradeDocs to issue certificates you must be a competent, qualified engineer, appropriately registered (for example with Gas Safe Register, NICEIC or NAPIT for the relevant work). You must complete our verification process before issuing certificates. You must not use the service to produce certificates for work you are not qualified or registered to certify.

4. Your account and sign-in

You create an account with an email address and a password, and you verify sign-in with a 6-digit one-time code sent to your email. The app also offers an optional device lock (a short PIN and, if you enable it, your device's biometric unlock) which stays on your device and is never sent to us. You are responsible for keeping your login details secure and for all activity under your account. Tell us immediately if you believe your account has been accessed by someone else.

5. Your responsibility for every certificate

You are solely responsible for the accuracy, completeness and validity of every certificate you issue through TradeDocs. In particular, you must:

When you sign a certificate, that certificate is yours as the certifying engineer. You are the responsible person for it, not TradeDocs.

7. Payments and your wallet

TradeDocs operates on a pay-as-you-go basis. You top up a wallet balance and the service draws from it when you use paid features such as AI scanning. Prices are shown in the app in pounds sterling. We keep records of your top-ups and usage as required by UK tax law. Top-ups are consumed as you use the service; please check the in-app terms of any particular top-up before you buy it.

Fraud and false verification - zero tolerance. If you submit a forged, altered or stolen registration or trade card, impersonate another person or engineer, or otherwise attempt to obtain verification or issue certificates by deception, we will refuse or revoke your verification and suspend or permanently close your account. Where appropriate we will report the matter to the relevant authorities and to the relevant engineer registers (for example Gas Safe Register, NICEIC or NAPIT), and we may retain the evidence for as long as necessary to investigate, prevent or report that fraud and to defend any related legal claim.

9. The service is provided "as is"

We work hard to make TradeDocs accurate and reliable, but the service is provided on an "as is" basis. The AI can make mistakes, which is exactly why you must verify everything against the physical installation. To the fullest extent permitted by law, we are not liable for certificates you issue, for your reliance on AI-suggested values you did not verify, or for any loss arising from your use of the service. Nothing in these terms limits any liability that cannot be limited by law.

10. The technology behind the service

TradeDocs runs on secure cloud infrastructure located in the UK and EU, uses a third-party provider to deliver account emails, and uses a third-party AI vision provider to help read the photos you submit. We do not name individual providers here for security reasons; we can confirm our current providers on request.

11. Changes to the service and these terms

We may update the service and these terms as the platform develops. The "last updated" date shows when these terms last changed. If we make a significant change we will make reasonable efforts to let you know.
